Approve or decline a booking request

The 48-hour response window and how to use it.

When a guest requests an on-request room, you have 48 hours to respond. There are two responses: approve the request, or offer alternative rooms on the same retreat. There is no decline button — a request you do not act on expires at the end of its window with no charge to the guest.

Approve

  1. Open

    Booking requests

    and click the request.

  2. Review the guest’s name, dates, room, number of guests and any message.

  3. Click

    Approve request

    , then

    Approve and notify guest

    .

  4. The guest is emailed a link to complete the booking. Payment is taken when they do, not when you approve.

Offer alternative rooms

  1. On the request, choose

    Offer alternatives

    instead of approving.

  2. Select one or more other rooms on this retreat. Only rooms on the same retreat can be offered.

  3. Click

    Send alternatives

    .

  4. The guest picks one of the rooms you offered and confirms it. The request then shows as Guest confirmed.

The 48-hour clock

  • The window starts when the guest sends the request.

  • When you respond, the guest gets a fresh 48 hours to complete the booking.

  • Requests that pass their deadline are marked Expired automatically.

Who can respond

You and any team member with the Manager role. Staff logins are view-only and do not see booking requests.
