How-to • Retreat host

What's on my host calendar, and how do I read it?

Your calendar shows 14 nights at a time. Each row is a room, grouped under its property, and each square is one night. Bookings, blocks and synced events show as bars along a room's row. A strip at the top shows when each retreat runs and how many guests are booked.

For retreat hosts and their team. Everyone on the team can see the calendar. Owners and managers can change it; staff can only look. Menu: Bookings & payouts → Calendar.

Before you start

  • Rooms only appear once you've added them to a property. With no rooms, you'll see "No rooms yet. Add rooms to an accommodation and each room gets its own row here."

Open your calendar

  1. In the menu, go to Bookings & payouts → Calendar.

  2. The month and year you're looking at show on the right, above the grid.

  3. Press Earlier or Later to move a week back or forward. Press Today to come back to this week.

What each part means

  • Retreats strip ("When they run, booked")

One bar per retreat. An outlined bar shows a retreat's scheduled dates. A filled bar shows the dates of bookings made, for retreats without set dates. The number on a bar is how many are booked. Click a bar to see its dates and headcount.

  • Unassigned ("Imported, blocking nothing")

Bookings brought in from another calendar (such as Airbnb) that aren't linked to a room yet. They show as Busy and don't stop guests booking. See "How do I sync my calendar with Airbnb, Booking.com or Google Calendar?".

  • Property name

The heading above each group of rooms.

  • Room name and details

Under each room's name: Private or Dorm, per bed, and how many it sleeps.

  • Price on a free night

What a guest pays for that night, such as "US$73 pp" (per person) or "A$157 room" (whole room). A price in bold is a special price for that night. Prices show in the currency you chose to view the site in.

  • Dark bar

    Booked on Finding Retreats.

  • Dashed bar

Imported from another calendar and placed in this room. It blocks the room.

  • Grey bar

Blocked by you (or another owner or manager on your team).

  • Dorm squares

How many beds are free that night, such as "3 free" and "1/4 beds", or Full.

A bar ends halfway through its last square because guests check out in the morning, so the same room can take a new guest that night.

See the details of a booking or block

  1. Click the bar in the room's row.

  2. The panel on the right shows the name, the room, the dates ("check-out morning" is the day they leave) and the number of guests.

  3. You may also see:

    • pending, holds the room for 1 hour: a guest is paying right now. If they don't finish, the room frees up after an hour.

    • added by hand, no payment taken: a booking you or your team added yourselves.

    • Blocked by the host or Imported from a calendar feed.

  4. Owners and managers get a button to undo it: Lift block, Take out of room or Cancel booking. Cancel booking only appears for bookings added by hand. A guest's real booking can't be removed from the calendar.

The right-hand column

  • Pricing: shows the room you last clicked and its price per night. Open it to change a room's standard price.

  • iCal: connect other calendars and copy your availability links. Only the account owner sees this.

  • When you pick nights in a room's row, the column shows the tools for those nights instead: block or open them, change their price, or add a booking.

On a phone, the column sits below the calendar. Swipe the calendar sideways to see all 14 nights.

Good to know

  • A room's nights are shared by every retreat that uses its property. If a room is booked for one retreat, it's taken for all of them.

  • Staff see the same calendar but can't pick nights, block or change prices.

  • The calendar shows rooms and retreats. Wellness services and experiences aren't on it.

If something goes wrong

  • "Could not load the room timeline. Try again in a moment."

The calendar didn't load. Wait a moment and reload the page.

  • "No rooms yet. Add rooms to an accommodation and each room gets its own row here."

Add a room to your property first. See "How do I add a room to my property?".

  • "1 imported event is not in a room yet. They do not block anything, so guests can still book those nights."

Click the Busy bar in the Unassigned row and put it in a room.

Common questions

  • Can I see a whole month at once?

No. The calendar shows 14 nights. Use Earlier and Later to move a week at a time.

  • Can I filter to one property or room?

No. Every room is shown, grouped by property.

  • Why can't I click anything?

Your team role is Staff, which can only view. Ask the account owner to make you a manager.
